Inviting and managing team members
Invites, role changes, and removing access.
Team management lives under Team in the dashboard and is owner-only.
Inviting someone
- Under Invite a team member, enter their email and pick a built-in role: Location manager, Team leader, Cashier, or Bookkeeper. (There is only one shop owner per workspace; ownership is transferred out-of-band.)
- The invite is emailed to them and shows as Pending with an expiry date.
- When they accept, they appear in the member list with their role.
Pending invites can be revoked before they are accepted; expired invites simply stop working and can be re-sent as a fresh invite.
Changing a member's role
Open the member from the team list and set the new role. The change takes effect immediately. You can also attach a custom job (Team → What each job can do (custom jobs are at the bottom)) to add specific permissions on top of a member's built-in role.
Removing a member
Removal is immediate: their access ends on every gated surface the moment you confirm — the next request they make is refused. The owner cannot remove themselves — ownership transfer is handled through support.
Adding back a removed member
Removing someone is not a one-way door, and re-adding them never means starting over. Removed members appear in a Removed members section on the Team page (shown to the owner whenever there is someone to add back), each with the role they held when removed.
Add back brings a person back exactly as they were: same role, same location access, same custom job. Nothing is re-typed and no new invite is sent — their access returns the next time they use the dashboard. Employee sign-ins come back the same way.
A few rules to know:
- To bring someone back in a different role, add them back first, then change the role from the member list.
- Adding someone back fills a seat like any other member, so it is refused if your plan's seat limit is already reached.
- If the person was since re-invited and is active again, adding them back is refused — change their role instead.
Auditing
Invites, role changes, removals, and add-backs are all recorded in your audit trail, so you can always answer who changed what and when — see Reading your audit trail. Removing or adding back a member also sends a security alert email, because access changing hands is worth an out-of-band record.
